The chair's weekend

From setup to cash-out, step by step.

  1. Two weeks out

    Set up in an afternoon

    Create your organization, set the credit value ("1 credit = $1, paid at the pro shop"), default takeout, limits and house rules. Link the Golf Genius event and import the field — teams, flights and player names come across with their IDs for result matching.

  2. One week out

    Invite the field

    Send the invite text and email. Members sign up with a one-time code — no passwords — and claim the record you imported from the roster. Pre-paid entries can be credited in bulk from a CSV.

  3. Practice round

    Open the betting table

    Staff post credits as members pay by cash, Venmo or member account. Or choose pay-at-the-table: members bet first and quote a four-letter code; staff collect and issue in one tap. Pools close at the first tee time minus ten minutes unless you say otherwise.

  4. Each round

    Confirm results, settle in one tap

    When Golf Genius marks the round complete, pull results. You see the finishing order with ties, any unmatched entrants, and a settlement preview for every pool — handle, takeout, per-credit payout, breakage. Confirm, and payouts post to wallets and members get one text.

  5. Sunday evening

    Cash-out desk and close

    The cash-out desk lists every member's final balance and tickets won. Mark each one paid; the ledger zeroes the wallet. Close the tournament and export a reconciliation that balances credits issued against wagers, refunds, payouts, takeout and breakage.

Roles

The committee runs it. The pro shop staffs it. Nobody can quietly change a number.

Permissions are enforced in the database, not just hidden in the interface.

Your club, your rules

Every knob the committee argues about is a setting.

Takeout, 0–30%

Set per pool, disclosed to members before they bet, and always retained by the club — for the purse, a charity, or the caddie fund.

Limits and exposure

Minimum and maximum per ticket, maximum exposure per member, minimum handle to run a pool, and what happens when nobody holds the winner.

Pool scoping

Daily pools on each round, overall pools on the cumulative standings, or both with separate handles. Teams or individuals, by flight if you like.

Communications
